Job Summary:
Coordinate and execute meetings and events for the workforce division while maintaining accurate and organized records in addition to administrative support responsibilities.
Required Qualifications:
Essential Duties and Responsibilities
- Schedule division advisory committee meetings with discipline leads including finalizing agenda, placing food orders, and communicating meetings to industry advisory committee members.
- Coordinate and maintain documentation for division advisory committee meetings and maintain necessary files per the Texas Higher Education Coordinating Board standards.
- Plan and facilitate special events for the division while managing expenditures and coordination for various parties involved.
- Plan and coordinate summer camps for the division by coordinating with faculty, PR, managing registration, check-in, execution, expenditures, and grant monies. In addition, manage communication with camp participants’ parents.
- Route program inquires for division programs to the appropriate associate dean and or discipline lead.
- Coordinate with Career Coaches events and activities as needed.
- Exercise professional communication with internal and external stakeholders.
- Prepare a wide variety of forms, documents and reports, including contracts, financial records and forms, state and county documents and reports, for board and division meetings, conferences, and travel records.
- Proof read all work for accuracy.
- Open, sort and distribute mail. Maintain filing system including correspondence and inventory records.
- Maintain the division website, and social media.
- May supervise a student assistant.
- Maintain working knowledge of college policies and procedures and respond to emergency situations in a calm and professional manner.

Physical Demands, Working Conditions and Physical Effort
Light Work - Exerting up to 20 pounds of force occasionally, up to 10 pounds of force frequently, and/or a negligible amount of force constantly having to move objects. If the use of arm and/or leg controls requires exertion of forces greater than that for the Sedentary Work category and the worker sits most of the time, the job is rated Light Work. Positions in this class typically include talking, hearing, seeing, grasping, standing, walking and repetitive motions, plus stooping, kneeling, crouching, and reaching. Relatively free from unpleasant environmental conditions or hazards. Office environment. Occasional physical effort required.
Requirements
Associate degree from a regionally accredited institution required.
Four (4) years of related experience OR equivalent combination of education and experience.
Preferred
Bachelor’s degree from a regionally accredited institution.
Equivalency Language
Two additional (2) years of directly related work experience may be substituted to meet the education requirement.
